You need to start every file with the employee’s name and home address. Many times, you will want to sort all of the files by the last names of the employees so that it is easy to find the people whose files you are looking for. You also need to have their address so that you can mail them out their checks every time that they are supposed to be paid. Your payroll division will need to have access to the files that are being kept by the human resources division so that payments can be made on time.

You also want to make sure that you include the date that the employee was hired in the file. Most HR systems will give you the ability to put this in when you first set up the file, and you can then change the date if you have made a mistake. Knowing when someone was hired is important so that you can know when they are eligible for various pay raises and promotions. You can also use this information for new employees to find out how many days off they should be given if these are pro rated for employees who have not worked at your company for an entire year.

Lastly, you should always take notes and keep these in the file as well. If you put down performance numbers, it will be easier to evaluate whether or not an employee is working hard and doing a good job. You can also put down notes about the way that the employee interacts with others so that you can make sure that your workforce is happy and that everyone is getting along. These notes can then be used when you meet with each employee to discuss their yearly review. When you have to fire someone, these notes can provide you with concrete reasons why you are justified to let them go.

It is important that your files are up to date and complete at all times, so you should work on them at least once a week. Even if you do not need to make any significant changes, it is good to go in and take notes. If you forget about the updates, you will not be making effective use of the various HR systems and all that they are capable of accomplishing.
